Custom Payroll Portals & Employee Management Software
We design and build a business portal around how your team works: employee self-service, timesheet approvals, pay-schedule screens, onboarding and HR dashboards, branded for your business.
The demo is simulated. It uses only made-up employees and numbers. SiteByPiece builds portal software. We are not a payroll processor and don't provide tax filing, direct deposit or guaranteed legal compliance. Builds start with the existing $15 paid custom build review, credited once toward an approved build.
What we can build for your team
Workforce management software design, shaped to your roles and your process instead of a one-size template.
Employee directory & role permissions
One place for team profiles, departments and job titles, with owner, manager and employee views so each person sees only what their role allows.
Timesheets & approval workflows
A timesheet approval system where staff submit hours or requests and managers approve, return or comment, with a clear status history.
Pay schedules & pay-stub screens
Branded screens that show pay periods, schedules and pay-stub details from records you or your payroll provider supply. We design the view; we don't calculate or file taxes.
Onboarding & document centers
New-hire checklists, policy acknowledgements, SOP libraries and document requests, connected to forms from our client intake system work.
Dashboards & reporting
A custom HR dashboard with headcount, pending approvals, hours by week and other summaries your team actually checks.
Integrations & automation
Google Workspace sign-in, forms, scheduling, payments or a qualified payroll vendor's API, only where the provider allows it and the scope is approved in writing. Nothing is promised until it's built and tested.
Need intake forms or a client-facing side too? See our client intake systems, or describe anything else in a custom build review.
Sample design: an in-house operations portal
We built a private operations portal for VerifyCallie, a related healthcare admin business. The concept on the right shows the style of that work: calm brand colors, SOP navigation, and clear request statuses.
Everything shown is a fictional placeholder. The real portal, its staff and its records stay private and are not part of any public demo. To click through a working example, use the simulated Workforce demo or browse the SiteByPiece Software Studio.
How we build it
Every project is priced by scope. There's no fixed package price, and nothing is built before you approve a written quote.
Discovery & scoping
Your paid review covers who uses the portal, what they need to do and what it should connect to.
Branded UI design
Screens designed in your colors and logo for computers, tablets and phones.
Roles, workflows & integrations
Permissions, approval steps and any approved connections built and wired up.
Private testing & security review
Tested with sample data on a private link before any real employee information is added.
Launch & support
Go live with your team, then request changes in writing as your business grows.
Questions about custom employee portals
What is a custom payroll portal, and is it the same as a payroll processor?
No. A custom payroll portal is the software your team logs into: employee profiles, timesheets, approvals, pay schedules and documents. A payroll processor actually runs payroll, withholds and files taxes and sends direct deposits. SiteByPiece designs and builds the portal. We are not a payroll processor and don't file taxes, move money or guarantee employment-law compliance.
Can my employees sign in with Gmail or Google Workspace?
Often, yes. Google sign-in is common for business portals. We confirm what your Google Workspace setup allows during scoping and only include it when it's part of your approved build.
Can managers and employees see different things?
Yes. Role-based access is the core of most employee portals. Owners, managers and staff can each get their own views and permissions, set during scoping.
Can the portal connect to my accounting or payroll service?
Sometimes. Some providers offer an API that approved partners can use, and some don't. We check the provider's terms and technical options first, and we never promise a connection to a specific vendor until it's been built and tested for your project.
How much does a custom employee portal cost?
Pricing depends on the scope: how many roles, screens, workflows and integrations you need. Every project starts with the $15 paid custom build review. You get a written quote before any build work, and the $15 is credited once toward an approved build.
Does it work on phones and tablets?
Yes. Every portal is designed to work on phones, tablets, laptops and desktop screens, so staff can submit hours or check documents from anywhere.
How do you handle security and privacy?
Portals are private, with sign-in and role permissions. We build and test with sample data before real records are added, and we agree on where data is stored. We don't offer HIPAA certification. Healthcare or other sensitive data needs separate, written requirements before it's collected.
Can I try a demo before I pay anything?
Yes. The Workforce demo is open to any visitor and uses only made-up employees and numbers. Nothing you do there is real or saved to a business account.
